1. Scope of this policy
Allied Site Care is a Melbourne-based commercial site management provider operating across Victoria. We respect the privacy of clients, prospective clients, contractors, suppliers and website visitors.
We aim to handle personal information consistently with the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply to our activities, and otherwise in accordance with this policy and responsible business practice.
2. Information we collect
Depending on how you interact with us, we may collect:
- your name, email address and telephone number;
- your organisation, property or site name;
- the service type, schedule, site requirements and other information included in an enquiry;
- communications, proposals, service records, reports and billing information associated with a client relationship; and
- technical information such as browser type, device type, pages viewed, interactions, approximate location and referral source.
Please do not send sensitive personal information through the website enquiry form unless it is genuinely necessary and you have first discussed it with us.
How we collect information
We collect information directly from you through our website form, email, telephone, meetings and service delivery. We may also receive relevant business contact information from a property manager, owners corporation, client representative, referral partner or publicly available business source.
3. How we use personal information
We use personal information only where reasonably necessary to:
- respond to enquiries and arrange site consultations;
- prepare proposals, scopes, schedules and service agreements;
- deliver, document and improve our services;
- communicate with clients, site contacts, contractors and suppliers;
- manage accounts, records, safety, insurance and legal obligations;
- protect our website, systems, people and business; and
- understand website performance and improve the visitor experience.
Submitting an enquiry does not automatically subscribe you to marketing. We will only send promotional electronic messages where we have the required consent or another lawful basis, and those messages will identify us and provide an unsubscribe option.
4. When information may be disclosed
We do not sell or rent personal information. We may disclose limited information to:
- employees, contractors and service partners who need it to provide or support an agreed service;
- professional advisers, insurers or authorities where reasonably necessary;
- technology providers that support website hosting, form processing, email, analytics, document storage and business administration; and
- another party where you have consented, or where disclosure is required or authorised by law.
Our website enquiry form is processed using Formspree, and website usage is measured using Google Analytics. These and other technology providers may process or store information in Australia or overseas under their own privacy and security arrangements. We limit the information shared to what is reasonably required for the relevant function.
5. Website analytics and cookies
Our website may use cookies or similar technologies to maintain functionality, understand traffic and measure how visitors use the site. Google Analytics may collect device, browser, page and interaction information and derive an approximate location.
You can restrict or delete cookies through your browser settings. Doing so may affect some website functions. We do not use website enquiry details to build an advertising profile or add you to a marketing list without appropriate consent.
6. Security and retention
We take reasonable administrative, technical and physical steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. No internet transmission or storage system can be guaranteed to be completely secure.
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, to maintain business and service records, or to meet legal, insurance and accounting requirements. When information is no longer required, we take reasonable steps to delete it or de-identify it.
If a data breach occurs, we will assess and respond to it promptly, including notifications required under the Notifiable Data Breaches scheme where that scheme applies.
